OKDHS:2-21-50. Records Management Program scope

The Oklahoma Department of Human Services (DHS) Support Services Departmental Services Unit (DSU) Records Management Section coordinates, plans, develops, and implements the DHS Records Management Program.

(1) Records management includes all record formats, such as electronic files, tapes, disks, microfilm, audio and video tapes, email, local and wide-area computer networks, and paper documents.

(2) Records are maintained to:

(A) document DHS functions, policies, decisions, procedures, and essential transactions; and

(B) furnish information that protects DHS legal and financial rights and of persons directly affected by DHS activities.

(3) Records created or received in the transaction of official business are not destroyed without prior authorization from the Archives and Records Commission via the DSU records management coordinator.
